Suppose, purely for an example, annual fixed ownership costs are $6,000 and annual billable hours are 400. Fixed cost per billable hour is $15. Add an assumed $20 of machine running cost and $30 of allocated operator cost per billable hour: the total is $65.
Here the fixed allowance includes capital consumption and the stated fixed expenses, but excludes job transport. The operator allowance is assumed to cover the allocation of paid non-billable time. These assumptions matter; actual labour, idling, service, finance interest or transport costs must not be silently omitted or counted twice.
Distinguish Markup From Margin
Using the assumed $65 cost, a 20% markup gives $65 × 1.20 = $78. The resulting margin is $13 ÷ $78 = 16.7%, rounded. A target 20% margin requires $65 ÷ (1 − 0.20) = $81.25.

These calculations do not establish an appropriate margin for your business or predict demand. They show why “add 20%” and “earn a 20% margin” are different instructions.
If an assumed four-hour job uses the $81.25 figure plus a separately quoted $100 mobilisation charge, the known subtotal is 4 × $81.25 + $100 = $425. Tax, materials, disposal or other work outside the example remain to be priced. Do not label the subtotal all-inclusive while those items are unresolved.
Put the Agreed Scope on the Quote
State the work, access, equipment, attachment, included hours and what counts as completion. Identify whether the customer is buying machine time, an operated day or a defined completed task. Record how additional work, waiting, disposal and changes discovered on site will be handled.
For a fixed-price project, estimate the whole deliverable rather than multiplying only ideal digging time. Access preparation, setup, spoil handling and reinstatement can change the work even when the excavation volume stays the same. Any assumptions about ground and services should be explicit.
